Below are our standard Terms and Conditions which form the basis of the contract between the Nursery and the parent/carer, in respect of the provision of nursery services for their child:

Opening Hours:

We are open from 7.30am to 6.00pm Monday to Friday, excluding Bank Holidays and the working days between Christmas and New Year.

Your Booking: 

  • Once you have been offered a place, you will be asked to complete the online registration process through our Nursery in a Box system. This includes submitting a fully completed registration form and agreeing to these Terms and Conditions.
  • A non-refundable booking fee of £100 is required to secure your child’s place. This should be paid by BACS transfer.
  • Once both the registration form and payment have been received, you will receive confirmation by email, and this contract will come into effect.

Fee Calculation:

  • Fees are calculated based on your child’s agreed booked days each month and are payable year-round, regardless of attendance. This includes any periods of illness, family holidays, or other planned or unplanned absences.
  • We do not offer reductions, refunds, or fee suspensions for temporary changes in attendance — including extended holidays (e.g. 4 or 6 week breaks). Your child’s place remains staffed and reserved during any absence, and fees remain payable in full.
  • If a parent chooses to temporarily withdraw their child and rejoin at a later date, we cannot guarantee availability. In such cases, a new place would need to be requested, and a further £100 non-refundable booking fee would be required before a new start date can be confirmed.
  • No charge will be made for Bank Holidays or the working days between Christmas and New Year, even if these fall on your child’s usual days.
  • Any extra sessions booked after invoices have been issued will be added to the following month’s invoice.

Variations and Amendments:

  • Parents/carers whose children have commenced their childcare at the nursery shall give not less than 4 weeks’ written notice of any required reduction in the contracted services.
  • If a parent wishes to increase the contracted services, written notice of such a request should be made to the nursery. Whilst the nursery will try to accommodate any such request, the nursery gives no guarantee that it shall be able to do so, either immediately, or at all.
  • The nursery may take the decision to close without prior notice, due to adverse weather conditions or any other force majeure circumstances beyond the control of the Nursery. If the nursery should close in such circumstances, the nursery shall be under no obligation to provide the contracted services or to provide alternative care facilities and the parent/carer will not be entitled to any refund of fees.
  • Our annual fee review takes place in February with any fee increases being applied from April. You will receive prior written notice of any fee changes.

Fee Payment:

  • Invoices are sent out by email on the 25th of the month for the following month’s childcare fees.
  • Payment must be made in full in advance (by the 1st of the month for that month’s childcare). 
  • Payment can be made by BACS transfer (Sort code: 40-27-33, Acc no: 81530224) or via tax free childcare, a childcare voucher scheme, or a combination of these.
  • Non- or late payment of fees is considered a material breach of this contract. In this event the nursery will serve written notice of non- or late payment requiring payment to be made in 7 days of the date of the notice.
  • The nursery reserves the right to charge a late payment fee of £25 if fees remain unpaid after the due date, to cover the cost of administration.
  • Continued late or non-payment may result in the withdrawal of the child’s place.

FEEE Funding (15/30 free hours):

  • Funded hours are subject to eligibility and availability, and are offered in line with our Local Authority’s funding rules and the nursery’s own policies.
  • Children accessing up to 15 hours of FEEE funding in our setting must attend for a minimum of 2 days a week.
  • Children accessing between 16 and 30 hours of FEEE funding in our setting per week must attend for a minimum of 3 days a week.
  • The 38 weeks of funded hours in our setting are only offered on a stretched basis. The 15 hours will be stretched to 11.18 hours every week. The 30 hours will be stretched to 22.35 hours every week.
  • FEEE funding is only applied to the child’s regular booked sessions. Extra sessions or ad hoc days will be charged in full at our standard daily rate and will not have funding deducted from them.
  • Any parent withdrawing their child from our setting after the end of term but before the start of the new term (with or without notice), will forfeit any remaining stretched funding they would have received in that period.

Termination of Contract:

  • This contract can be terminated by either party giving the other party not less than 4 full weeks’ written notice of termination.
  • Any outstanding fees, including those covering the notice period, must be paid in full prior to the child’s final day. Any booking or registration fees are non-refundable.
  • The nursery will not tolerate any abuse, whether verbal or physical, of its team members by parents/carers. In the event of such abuse, the nursery reserves the right to terminate this contract immediately without notice. 

Conduct with Staff:

  • Parents/carers should not (during this contract or for a period of 6 months following termination of this contract) employ, solicit or entice away or seek to entice away from the nursery’s employment, any person who was employed by the nursery at the date of termination of this contract or in the 6-month period prior to the termination of this contract.
  • Parents/carers are requested not to make or accept social media (Facebook/Twitter etc) friend requests to staff members who work in our setting.
  • Staff members are not permitted to discuss nursery matters outside of working hours or via personal social media. Please direct any queries to the nursery directly during opening hours.

Child Illnesses and Medication:

  • The nursery reserves the right to refuse admission or suspend care for any child in line with our Illnesses and Medication Policy. This includes, but is not limited to, contagious conditions such as chickenpox, sickness and diarrhoea, or other illnesses that could pose a risk to others.
  • Children must be kept at home for the recommended exclusion period to help prevent the spread of infection.
  • If your child is unwell and unable to attend nursery, please notify us by 9.30am on the day they are due to attend.
  • If your child becomes unwell while in our care, we will contact you and may ask that they are collected as soon as possible.
  • All prescription medication must be clearly labelled with your child’s name and handed directly to a staff member. You will be required to complete and sign a medicine consent form before any medication is administered.
  • With prior written consent, we may administer non-prescription medication such as paracetamol or antihistamines in cases of high temperature, allergic reaction, or discomfort while your child is in our care. We will always try to contact you before doing so, unless immediate administration is required.

Child Absences and Safeguarding

  • We are committed to safeguarding all children in our care. A full copy of our safeguarding and complaints procedures is available on request.
  • We are now required under the EYFS statutory framework (effective 1 September 2025) to follow up quickly on any unexplained or prolonged absence.
  • If your child is absent without prior notice or is absent for multiple consecutive days, we will try to contact you and your emergency contacts promptly.
  • Should we be unable to reach anyone, or if the absence causes concern, we reserve the right to make a referral to local children’s services or the police.
  • We also monitor absence patterns to identify any longer-term trends, and may discuss these with you if needed.

Dropping off and collecting your child:

  • Please notify us if your child is being collected by someone other than the parents/carers listed on your application.  We have a password system in place to maximise security.
  • We reserve the right not to release a child to any individual where we have safeguarding concerns or cannot verify their identity.
  • Please undertake to provide the nursery with as much advance notice as is possible in the circumstances regarding any late collection of a child.
